Position Summary:
Food Geeks Hospitality Group is seeking a highly organized, professional, and tech-savvy Administrative Assistant to join our growing team. This role is ideal for a self-starter with a strong background in the hospitality industry and a willingness to embrace and implement AI tools into their daily workflow. You will be supporting executive operations, managing the owner’s schedule, coordinating catering inquiries, screening job applicants, and helping streamline internal communications across our multiple brands.
Key Responsibilities:
 • Executive Support:
 • Manage and maintain the owner’s calendar, including scheduling meetings, appointments, and travel arrangements.
 • Prepare meeting agendas, take notes, and follow up on action items.
 • Coordinate internal and external communications on behalf of the owner.
 • Catering & Client Coordination:
 • Receive and respond to catering inquiries via email and phone.
 • Assist with gathering event details, preparing proposals, and tracking confirmations.
 • Maintain accurate client and event records.
 • Hiring & HR Assistance:
 • Screen and evaluate incoming resumes for key hospitality roles.
 • Schedule interviews and assist with onboarding processes.
 • Maintain and organize personnel files and HR documents.
 • AI-Driven Workflow Optimization:
 • Implement and manage simple AI tools (e.g. ChatGPT, calendar automation, email templates, CRM automations) to increase workflow efficiency.
 • Stay up to date on AI trends and bring new ideas to improve operational systems.
 • General Administrative Duties:
 • Maintain digital and physical files, reports, and confidential documents.
 • Monitor email correspondence and respond on behalf of the owner when appropriate.
 • Provide general office and project support as needed.
Qualifications:
 • Required:
 • 2+ years of administrative or operations experience in the hospitality or food service industry
 • Strong communication and customer service skills
 • Highly organized and detail-oriented with the ability to multitask
 • Proficient in Google Workspace (Docs, Sheets, Calendar), Microsoft Office, and general cloud-based tools
 • Demonstrated ability and openness to using AI or automation tools
 • Professional demeanor with high levels of discretion and integrity
 • Preferred:
 • Experience with catering/event management platforms or CRMs (e.g. HoneyBook, Tripleseat)
 • Prior experience working in a restaurant group, catering company, or event-focused business
 • Familiarity with AI tools like ChatGPT, Notion AI, Zapier, or others
Work Environment:
 • Hybrid Position: Must be available for in-person work and meetings in the Charlotte, NC metro area several times per week. Some remote work is permitted.
 • Flexible Schedule: Some evening or weekend availability may be required based on events and executive scheduling needs.
